Data Transfer – One of the specialist service areas provided by Accesspoint is the Migration of data from one Legal Practice/Case Management system to another. Over the last year, in peak periods, we have delivered up to three conversions per month, ranging from five user systems (2,000 matters) to 250 user systems (150,000 matters, 10 million time transactions). Our belief is that a conversion cannot simply be left to the new supplier, there must be full client engagement, taking responsibility for knowing what they want and then ensuring its delivery.

Working closely with clients and software providers has been key to our success with data transfer projects combined with working alongside an existing supplier on the odd occasion, who may already be providing a managed/hosted service. Projects vary from simple extraction of data from an existing system in a format (Staging Area Database) specified by a new supplier, to managing the subcontracting/outsourcing of a whole migration project – with live conversions often taking place over weekends (minimal downtime).

Our specialist Data transfer team ensure that all data is reconciled to original reports. Where it doesn’t due to existing system problems, we provide full reports explaining any discrepancies, showing how they will be handled within the new system which MUST balance. In addition, populating the new supplier database, delivering a complete test conversion set of data to clients for User Acceptance Testing.

An important part of any Data Migration project is maximising the facilities provided by the new Practice Management System and as very strong advocates of the phrase Rubbish In, Rubbish Out, we also insist on data cleansing de-duplication, removal of old coding, matter types etc. or restructuring of nominal ledger chart of accounts introducing departmental analysis facilities.
